Vendor Guidelines, Rules, & Requirements
All vendors must observe the rules and regulations of Civic Center EATS listed below.
Please ensure that all staff members participating in EATS have read and understand these rules and procedures. We understand that last-minute changes in staffing may happen, and the business owner will be accountable for any rule violations by their staff. Civic Center Conservancy reserved the right to remove any vendors not complying with their policies.

PAYMENT POLICIES
Accepted vendors will have the option to pay week-by-week or pay for each season in advance for a 10% discounted rate.
Season Payments: Due two (2) weeks before the start of the season:
- Spring Season Payment Due: April 29
- Summer Season Payment Due: June 24
- Fall Season Payment Due: August 26
Week-by-Week Payments: You will receive a payment link via email or text the week before each scheduled event day and payment is due the FRIDAY before event day (e.g. payment for Wednesday, May 13 is due by Friday, May 8).
If we do not receive your payment by Friday before the event, you may be replaced by a drop-in vendor for that week.
REFUND POLICY: There are no refunds for no-shows, missed shifts, or days canceled due to weather or other reasons outside the control of the event organizer. This includes if you have either already paid for the upcoming week or prepaid for the entire season.
At the discretion of the Conservancy staff, we may work with a vendor to find a make-up date for a prepaid shift if available.
ATTENDANCE POLICIES
By participating in EATS, vendors are responsible for attending all dates of each season they are assigned to.
If you know you will be unable to make a shift, vendors are responsible for notifying the Civic Center Activations Team by 9:00 AM two days prior to your event date at the latest (earlier if possible). Vendors must notify the Conservancy directly at activations@civiccenterconservancy.org or texting our EZ Text number (720- 796-9199). If you notify an EATS staff member onsite about an upcoming absence, we kindly ask that you follow up by either email or text to confirm we note this in our schedule.
Please be considerate of your fellow vendors and event organizers – empty spaces hurt the flow and look of the event. Per our refund policy (above), you will not receive a refund on your daily fee if you miss a day.
LATE CANCELS AND NO-SHOWS: If you either cancel less than 48 hours in advance or do not show up for a shift more than two times in a season, you may be removed from the regular EATS lineup, and your spot will be given to another vendor.
EVENT DAY PROCEDURES
LOAD-IN: Vendors will be given an arrival window of 9:00-10:15AM and must be fully loaded in and ready to vend by 10:30AM. The Event Manager will check vendors and assign space. Please advise the Event Manager of any special parking requirements, and they will do their best to accommodate you. There are no regular assignments and vendors must follow the Event Manager’s load-in instructions.
VENDORS WITH TRAILERS: You must arrive BEFORE 10AM. After load-in, tow vehicles must be parked off-site. Please go to our visit page in order to find nearby parking.
No vehicles will be allowed into the event area after 10:30 am, and all non-vending vehicles must be off the promenade by 10:30 a.m. to allow EATS setup to be completed.
LOAD OUT: Service must end at 2 p.m. This means that all orders must be taken before 2 p.m. to ensure all food is served by 2 p.m. Orders taken after 1:45 should be served in to-go containers and patrons should be encouraged to take their food to go.
Non-vending vehicles are allowed back on the promenade at approximately 2:30 p.m. or when the Event Manager gives the ok that the Promenade is clear of most patrons. The Event Manager will inform vehicles when it is safe to enter the promenade. Respect patrons finishing their lunch and do not expect to leave the site before 2:30 pm. This applies to all vendors for every week. Vendors that leave without Event Manager approval may be removed from future events.
VENDORS WITH TRAILERS: Tow vehicles for trailer are allowed back on the promenade after 2:30 p.m. or when the Event Manager gives the ok that the Promenade is clear of most patrons.
EVENT WEATHER POLICIES
Weather in Colorado is unpredictable and can change quickly. Safety for our staff, attendees, and vendors is of the highest importance to the Civic Center Conservancy. EATS will occur rain or shine, but if conditions become dangerous, we may need to pause or end the event early.
Lightning Policy: The Event Manager will track the movement of any incoming storms and after receiving alerts of active lightning within 5 miles of the park, event operations must pause for 30 minutes since the last active lightning strikes within that radius. As the event organizers, we are required to take this action to ensure the safety of everyone at EATS.
- When the event pauses, all food trucks are required to:
- STOP SERVICE IMMEDIATELY, including any orders in process.
- Close their service window (if possible) and inform patrons waiting on food that they must leave the event area and wait until the lightning passes and we are able to resume the event.
- Stay in their truck.
- Wait for Event Staff to issue an all-clear before resuming service.
- Event staff will close umbrellas at tables and inform patrons that they must evacuate the area and seek shelter until the weather passes.
- We will continue to monitor the situation and determine if we will be able to resume service or need to end the event early, based on a number of factors including the time of day, severity of weather, etc. This decision will be made by the Event Manager and communicated to all vendors as quickly as possible.
Other weather that could cause pauses or cancellations would include hail and extreme wind gusts or sustained high winds. As with lightning, the Event Manager will determine if a pause is necessary and communicate this to all participating trucks accordingly.
Failure to comply with these policies as communicated by the event manager will result in removal from the event and possibly future events, and you risk being held liable for injuries sustained by a patron during an extreme weather event.
REPORTING
DAILY SALES REPORTS: All Vendors will be required to submit daily sales report (number of unique transactions and total sales). These will be due by the Friday of each week participating. Reported sales performance is one of the criteria by which we evaluate vendor applications for next year.
GIFT CERTIFICATES: To promote attendance at the event by large companies, we sell EATS Gift Certificates in $20 and $10 values. Often, we sell between 50-100 of these Certificates at a time, which means more guaranteed attendance at the event. All vendors are required to accept the Gift Certificates and will be reimbursed by the Conservancy at a rate of $18 for $20 Certificates and $9 for $10 Certificates. Patrons should not be given change for unused value. For example, if their purchase total is $16, the vendor is still reimbursed $18. For purchases greater than $20, the balance must be paid by the patron.
Conservancy staff will collect certificates at the end of each day. Please write the name of your food truck on each Certificate. The Conservancy will send an email with the total reimbursement amount due within two weeks of the end of each season. Vendors must then submit an invoice with the amount for reimbursement with vendor name, address, and payment instructions (e.g. credit card payment link or mailing address for paper check). If this reimbursement schedule creates a financial barrier, vendors should email the Conservancy team at activations@civiccenterconservancy.org.
VENDOR ETIQUETTE AND PARK GUIDELINES
SPACE CLEAN UP: Vendors must clean around their assigned area for the day and remove all waste and trash before leaving EATS. Vendors must clean/sweep their area at the end of the day. Please have a separate container for any food trimmings. On-site trash receptacles are for patron use only. No grease, cooking oils, or leftover food can be dumped in the event/park trash cans – carry these items out with you.
PROTECTIVE GROUND COVERINGS: Vendors MUST have a protective barrier or receptacle under working areas to catch grease/oil spills. Any spills or other residue left will result in a $100 fine which must be paid before your next appearance at EATS.
GENERATORS: Generators must be placed between the truck and the grass on the hard top surface. Generator exhaust must be facing away from grass and patron eating area. Generators should not operate at a sound level above 55 decibels. We cannot provide electricity for vendors with non-compliant or non-operable generators. Generators with less than a 5kWh capacity do not need a Denver Fire Department (DFD) permit. Generators at or above the 5kWh capacity will require a TEMPORARY GENERATOR permit issued through the DFD Flammables group.
GLASS CONTAINERS: Per Denver Parks and Recreation rules and regulations, glass containers are not allowed. Please sell beverages in cans or cups. If you sell a glass-bottled item (likely soda or another drink), you must pour it into a plastic cup before serving it to the customer at Civic Center EATS.
PLAYING MUSIC: Local DJs and other musical performances are presented by Youth on Record for each day of EATS. If you play music inside your truck, we ask that you refrain from competing with the weekly musicians or the other trucks. If your music is audible to the public during event hours (11:00 a.m. to 2:00 p.m.), you will be asked to turn down the volume.
COMMITMENT TO SUSTAINABILITY
All vendors participating in Civic Center EATS are expected to adhere to eco-friendly practices and prohibited from serving single-use plastics (such as disposable water bottles, utensils, and cups). All serve-ware (including cutlery, sauce ramekins, carry-out bags, etc.) must be either recyclable with Denver’s recycling program or compostable (bpi-certified only). Vendors will be required to sign a sustainability agreement before participating in the 2026 season of EATS, and compliance will be monitored onsite at EATS throughout the season.
SOCIAL MEDIA
We encourage vendors to use the social media channels to promote their presence at EATS and the event as a whole at least once per week. Vendor acknowledges and understands that Civic Center EATS provides space and general publicity only about the event and makes no promises or representations concerning expected sales or profits.
SPONSORS
Sponsors of the Civic Center Conservancy help to underwrite the cost of the production and marketing of Civic Center EATS, and we are contractually obligated to honor our sponsor agreements. If a vendor plans to participate in any marketing, promotion, and/or other activity with a sponsor or corporate/nonprofit partner, you must get approval in writing from Conservancy staff at least 14 days before the activity for us to ensure the activity is not in conflict with one of our existing sponsor agreements. The vendor or sponsor may be required to pay an additional fee depending on the activity. Sponsor activation may include, but is not limited to, truck wraps, signage, food giveaways, and other marketing activities.
Normas, Reglas y Requisitos por Civic Center EATS 2025
Todos los vendedores deben observar las normas y regulaciones de Civic Center EATS que se detallan a continuación.

POLITICAS DE TARIFAS

- Temporada de Primavera pago vencido: 23 abril

- Temporada de Otoño pago vencido: 20 agosto
El pago semanal vence siete (7) días antes de cada día del evento programado (por ejemplo, el pago del 14 de mayo vence el 7 de mayo).
POLITICAS DE ASISTENCIA
Al participar en EATS, los proveedores son responsables de asistir a todas las fechas de cada temporada a la que estén asignados.
Si no puede asistir, comuníquese con el equipo de Civic Center Conservancy antes de las 9:00 a. m. dos días antes de la fecha de su evento como máximo. Sea considerado con sus compañeros vendedores y organizadores del evento: los espacios vacíos afectan el flujo y la apariencia del evento. Tenga en cuenta que no se le reembolsará la tarifa diaria si falta a un día.
CANCELACIONES TARDÍAS Y NO PRESENTACIONES: Si cancela con menos de 48 horas de anticipación o no se presenta a un turno más de dos veces en una temporada, es posible que lo eliminen de la alineación regular de EATS y su lugar se le dará a otro proveedor.
POLITICA DE REEMBOLSO: No se realizarán reembolsos por turnos perdidos o días cancelados debido al clima u otras razones fuera del control del organizador del evento.
PROCEDIMIENTOS DEL DÍA DEL EVENTO
CARGA DE ENTRADA: A los vendedores se les asignará una ventana de llegada de 9:00 a 10:00 AM y deben estar listos para vender a las 10:30 AM. Le Gerente del Evento verificará a los vendedores y asignará espacios; puede ser necesario establecer horarios escalonados de carga. Por favor, informe al Gerente del Evento de cualquier requisito especial de estacionamiento; no se permitirán vehículos (excepto camiones de alimentos participantes) en el paseo después de las 10:30 am, y todos los vehículos que no participan en la venta deben abandonar el paseo antes de las 10:30 a.m. para permitir que se complete la instalación de EATS.
SALIDA: Las ventas deben finalizar a las 2 p.m. vehículo de remolque pueden regresar al paseo después de las 2:30 p.m. o cuando el Gerente del Evento dé el visto bueno de que el Paseo esté despejado de la mayoría de los asistentes. El Gerente del Evento informará a los vehículos cuando sea seguro entrar al paseo. Respete a los asistentes que terminan su almuerzo y no espere abandonar el sitio antes de las 2:30 pm. Esto se aplica a todos los vendedores todas las semanas. No planee abandonar el sitio antes de las 2:30 pm. Los vendedores que se retiren sin la aprobación del Gerente del Evento pueden ser excluidos de eventos futuros.
VENDEDORES CON REMOLQUES: Después de la carga, los vehículos de remolque deben estacionarse fuera del sitio. Vaya a nuestra Visit Page para encontrar estacionamiento cercano. Los vehículos remolcadores podrán volver a circular por el paseo marítimo a partir de las 14:30 horas. o cuando el director del evento da el visto bueno para que el paseo esté libre de la mayoría de los clientes.
INFORME DE VENTAS DEL DÍA DEL EVENTO: Todos los vendedores deberán enviar un informe de ventas diario (número de transacciones únicas y ventas totales). Estos deben presentarse antes del viernes de cada semana de participación. El informe de ventas es uno de los criterios con los que evaluamos las solicitudes de los proveedores para el próximo año.
LIMPIEZA DEL ESPACIO: Los vendedores deben limpiar alrededor de su área asignada durante el día y retirar todos los desechos y basura antes de abandonar EATS. Los vendedores deben limpiar/barrer su área al final del día. Por favor, tenga un contenedor separado para cualquier recorte de alimentos. No se pueden arrojar grasas, aceites de cocina o alimentos sobrantes en los botes de basura del evento/parque; lleve estos elementos consigo. Los recipientes de basura en el evento son solo para uso de los atenientes.
CUBIERTAS PROTECTORAS EN EL SUELO: Los vendedores DEBEN tener una barrera protectora o receptáculo protector debajo de las áreas de trabajo para atrapar derrames de grasa/aceite. Se debe pagar una multa de $100 antes de su próxima aparición en EATS si queda basura en el lugar.
GENERADORES: Los generadores deben colocarse entre el camión y el césped. El escape del generador debe estar orientado lejos del césped y del área donde comen los asistentes. Los generadores no deben funcionar a un nivel de sonido superior a 55 decibelios. No podemos proporcionar electricidad a los vendedores con generadores que no cumplan con las normativas o que no funcionen. Los generadores con una capacidad de menos de 5 kWh no necesitan un permiso del Departamento de Bomberos de Denver (DFD). Los generadores con una capacidad de 5 kWh o más requerirán un permiso “TEMPORARY GENERATOR permit” emitido por el grupo de productos inflamables del DFD.
RECIPIENTES Y VASOS DE VIDRIO: Las reglas y regulaciones de Parques y Recreación de Denver no permiten recipientes de vidrio. Por favor, venda bebidas en latas o vasos no de vidrio. Si vende un artículo embotellado de vidrio (probablemente soda u otra bebida), debe pasarlo a un vaso de plástico antes de servirlo al cliente en Civic Center EATS.
REPRODUCCIÓN DE MÚSICA: Se reproducirá música proporcionada por Youth on Record o se contratarán músicos locales para actuar en EATS. Si reproduce música dentro de su camión, le pedimos que evite competir con los músicos semanales u otros camiones. Si su música es audible para el público durante las horas del evento (de 11:00 a.m. a 2:00 p.m.), se le pedirá que baje el volumen.
COMPROMISO CON LA SUSTENTABILIDAD
Se espera que todos los vendedores que participan en Civic Center EATS cumplan con prácticas ecológicas y se les prohíbe servir plásticos de un solo uso (como botellas de agua, utensilios y vasos desechables). Todos los utensilios para servir (incluidos los cubiertos, los ramequines para salsas, las bolsas para llevar, etc.) deben ser reciclables con el programa de reciclaje de Denver o compostables (solo con certificación de CMA). Los vendedores deberán firmar un acuerdo de sustentabilidad antes de participar en la temporada 2025 de EATS, y se supervisará el cumplimiento en el sitio de EATS durante toda la temporada.
POLÍTICA DE CLIMA DEL EVENTO
El clima en Colorado es impredecible y la seguridad es de la mayor importancia para CCC. EATS se llevará a cabo aunque llueva o haga sol, pero si las condiciones se vuelven peligrosas, terminaremos el evento temprano. Por favor, no se preocupe. Haremos todo lo posible para comunicar cualquier cambio rápidamente. Si tiene preocupaciones o preguntas sobre ajustes climáticos en el día del evento, comuníquese con el Gerente del Evento para confirmación.
REDES SOCIALES
Se alienta a los vendedores a utilizar los canales de redes sociales bajo su control para promocionar su presencia en el evento y el evento en sí al menos una vez por semana. El vendedor reconoce y comprende que Civic Center EATS proporciona espacio y publicidad general solo sobre el evento, y no hace promesas o representaciones sobre ventas o beneficios esperados.
PATROCINADORES
Los patrocinadores de la Civic Center Conservancy ayudan a financiar los costos de producción y marketing de Civic Center EATS, y estamos obligados contractualmente a cumplir con nuestros acuerdos de patrocinio. Si un vendedor planea participar en cualquier actividad de marketing, promoción y/o colaboración con un patrocinador o socio corporativo/no lucrativo, debe obtener la aprobación por escrito del personal de la Conservancy al menos 14 días antes de la actividad para asegurarnos de que la actividad no esté en conflicto con uno de nuestros acuerdos de patrocinio existentes. Es posible que se requiera que el vendedor o el patrocinador paguen una tarifa adicional según la actividad. La activación del patrocinador puede incluir, entre otras cosas, envolturas de camiones, letreros, regalos de alimentos y otras actividades de marketing.
